All job cards are created immediately on request & captured in SAP PM system after completion of job. All hard documents are filed daily and are retrievable by authorised end users & confidentiality is maintained. • SAP Orders- Processing of SAP orders. Orders are processed to SAP PM procedures and within specified time frame. Ensure safety standards and legislations complied with at all times (ISO9001/14001/18001) • Ordering of consumables & PPE for the department. • Compile Behavioural Audit Stats for the month JOB DESCRIPTION-ACTING PLANNER (SPP/ MTP/FMP/MPP MAINTENANCE) • Responsible for work requests, manage back log in SAP, plan work orders, create job cards, procure materials, prioritize and schedule work to maximize process up-time and minimize material costs and contract services. o Determine resources and parts needed for maintenance work orders. o Order parts and is responsible for planning jobs for execution o Track all work notifications and conversion of these notificiations to work orders and plays a pivotal role in gatekeeping the work notifications with production. • Plan all maintenance work including scoping all jobs, determining resource requirements, ordering parts and planning jobs for execution. • Create and maintain all job cards on SAP system. • Maintain accurate and timely status codes on work orders to facilitate the scheduling process. • Partners with Production in daily and weekly scheduling meetings to ensure equipment availability and job readiness. • Track all work notifications and work closely with production to facilitate the gatekeeping of all work notifications. • Convert all work notifications to work orders. • Assist in arranging for Maintenance overtime. • Arrange for outside services and partner with the Crew Coordinator to manage the execution of contracted work. • Ensure warehouse parts are delivered to the right location at the right time. • Generate work release requests and create standard job plans and work orders. • Support maintenance engineers on projects. • Work with the Chief Planner on outage planning. • Codify any new equipment & spares required for maintenance. • Data capturing • Data validation • Upkeep of daily/weekly/monthly statistical data • Analysis of daily/weekly/monthly operational results • Processing of information • Draft weekly & monthly business reports. • Conduct product & consumable reconciliations. • Placement of requisitions, reservations, works orders, etc on SAP; • Capture, update, control and maintain data and other related systems required to enhance departmental operations. • General administrative tasks to support operations. • Coordinate office administration and control documentation toward supporting departmental functions. • Ensure product related data on document management systems/databases is in accordance with Procedural standards. • Standardize data input and ensure data is captured accurately. • File documentation, manage the filing archive to readily access and retrieve data. • Establish and maintain a data library for specifications, catalogues and related information. • Ensure effective distribution of information. • Control and document changes as per request. • Conduct functional audits on documentation. • Register, capture, update, control and maintain data and other related systems required to enhance departmental operations. • Maintain relationships with both internal and external customers to promote department and overall company image. • Health & Safety Work Environment- Adhere to all safety and health practices and promote good housekeeping ongoing basis.
